The Big 3 Benefits of Consolidating Your Business Systems

Get free updates of new post here.

I’m a believer in simplifying many tools that you use, and often am an advocator of consolidating your business systems as much as you can.

The consolidating mindset is not to have a standalone software to support each business system. Using a software or platform that will support 80% of your systems and workflows means that you can fill in the 20% gap with software integrations that will compliment your primary system.

Application Overload

Big 3 Benefits to Consolidating Your Business Systems

Jumping from one operating system to another, or between applications, slows down your delivery time.

Wouldn’t it be painful if you had to open three software applications just to complete ONE client contract? Imagine having to start it in Microsoft Word, then having to record that action in Microsoft Excel so you can track it, THEN having to add that back into your CRM to generate reports. It’s almost breath-taking that this is the reality for many companies.

What about checklists? You built a checklist so that you won’t forget to complete a specific section of your task. But now that you’ve finished the task, updates need to be made in another system (such as a productivity app or tool). That’s not factoring in the risk that the software could crash on you, interruptions could take place, or responses could be delayed. Suddenly your redundancy and time for execution have tripled.

Benefits of Consolidating Your Business Systems

Imagine needing to only work in a minimum of two systems. One of your primary that holds all of your processes, tasks, entries, etc., and one as your secondary. If you have more than two, of course, then we would look at other tools that can help integrate the two. If you’ve been working in more than FIVE software applications, it might be time to evaluate consolidating your business systems.

By doing so, you’re going to see the immediate benefits of:

  1. Reducing Redundancy

    • Say goodbye to entering the same data in multiple places.
    • Say hello to more time, more efficient task management.
  2. Information Sharing

    • Say goodbye to not being able to work on projects because data is stored on your desktop.
    • Say hello to team collaboration and document sharing.
  3. Centralize Systems

    • Say goodbye to missed deadlines with a centralized calendar and collaboration tool.
    • Say hello to streamlined processes and knowledge bases.

Business systems don’t have to be complicated, and efficiency is not in the mass numbers.

It is about simplifying and maximizing the tools that you currently have. This will allow you to manage and integrate them into your business workflow efficiently.
